A repair board instead of a spreadsheet tab
The repair list often lives in a notes app, a group text, or a tab called DO NOT RENT. Those systems fail the moment the person who wrote the note is on a day off.
A ticket needs four things: which unit, what is wrong, who owns the fix, and whether the unit can still go out. If it cannot go out, the booking screen should refuse it without a second lookup.
Waiting on a part is a real status. Closing the ticket when the part arrives should put the unit back on the line, as long as it is not still out with a guest.
Damage found at check-in should open that ticket from the return, not from memory later. The note the guest hears and the note the mechanic sees ought to be the same sentence.
You do not need a full shop-management suite to get this. A short board next to the fleet is enough, if the board is allowed to block a booking.
